Position Summary:  The Manager of Billing is a cross-functional leader within Reimbursement whom manages both facility leasing and patient billing activities to certify that all invoices and claims generated have complete and accurate data to allow for timely billing and optimal reimbursement. The Manager of Billing will also oversee a team of Reimbursement Contact Specialists and manage the day to day call activity within this group.            

Essential Duties and Responsibilities:


  • Responsible for ensuring the timely billing of all paper and electronic claims to insurance companies for new and reoccurring orders.
  • Maintains electronic claim submission levels at 85% or higher and paper claim submission levels at 15% or lower at all times.
  • Mitigates billing errors and negative adjustments through process control and claim audit sampling.
  • Completes monthly quality audits to indemnify the submission of clean claims and facility invoices at all times.  
  • Reviews billing reports to ensure that all unbilled patient orders are reviewed and allayed on a quarterly basis.
  • Maintains communication with other areas of Reimbursement to coordinate revenue closes on a biweekly, monthly and quarterly basis.
  • Works with Billing Specialists, Billing Supervisors, Account Coordinators, Sales, and other organizational leaders to resolve patient and facility accounting issues.
  • Prepares pre-claim AR reports for the sales teams and senior management by collecting, analyzing, and summarizing account information and trends.
  • Responsible for ensuring the timely generation of all facility and patient invoices.
  • Monitor’s call volume and performance for Reimbursement Contact Specialists to ensure all calls for discharge conformation and continued use are completed on a daily basis.
  • Develops/Improves and reviews statistical performance measures for the department overall and for individual staff members (i.e., annual objectives and KPI Scorecards). 
  • Ability to perform “out of the box” analysis at the request of Senior Management to generate claims revenue.
  • Ability to manage production work and establish team goals that contribute to the bottom line.
  • Maintains appropriate staffing levels within the team at all times to ensure productivity goals are met or exceeded.
  • Responsible for new hire training and ongoing development training for all functions within the team.
  • Responsible for designing and recommending improved processes and/or operational policies and works with Director to refine and implement those changes.
  • Performs other duties as assigned by Management.                                                

Supervisory Responsibilities:  Directly supervises employees in the Billing Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Educations and/or Experience:

  • Bachelor’s degree in business, finance or related field required.
  • Certification in medical claims billing and coding highly preferred.
  • 5-7 years experience in medical claims coding and/or AR collections practices preferable (DME/HME space).
  • Subject Matter Expert in DME/HME billing and collections practices highly preferred.
  • Must be able to work in a fast paced, high stress, production environment.
  • Knowledge of CMS regulatory standards and other payer compliance requirements related to medical claims billing and/or AR collections practices.
  • Experience with call center management preferred.
  • Strong organizational, prioritization, analytical and people management skills.
  • Ability to make independent decisions with minimal oversight.
  • Highly proficient in Microsoft Office applications such as Excel, PowerPoint and Word.
  • Experience with Brightree HME Billing is highly preferred but not required.                                                               

Language Skills  Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
