NOTE: This is a contract position located in our Pawtucket, RI office.

Job Summary:

Provides administrative support for senior leadership, management staff, and department. Works independently within guidelines established by Management Staff. Seeks supervision as needed.

Essential Job Functions:

  • Collect, record, and track purchase requisition data for department.

  • Track purchase orders and hours spent for contractors.

  • Prepare expense reports and monthly spending reports as required.

  • Correlate purchase requisitions, purchase orders and invoices to provide data for cash flow analysis.

  • Maintain department office supplies inventory and general environment of the office.

  • Coordinate travel arrangements as requested, anticipating upcoming needs

  • Schedule meetings, conference rooms, and meals, as required

  • Administrative duties such as filing, copying, answering/screening calls, mail distribution.

  • Prepare correspondence to internal/external parties.

  • Word processing, filing, simple outside correspondence and information retrieval for staff.

  • Responsible for partial calendar management.

  • Special projects as requested or sought for by administration and other departments as needed.

Required/ Preferred Education and Experience:

  • High school diploma, Bachelor’s degree strongly preferred.

  • 5+ years' experience as executive secretary, administrative assistant or equivalent

Knowledge, Skills, and Abilities:

  • Strong knowledge of MS Office (i.e., Word, Excel, Outlook, PowerPoint.) Proficient in creating basic PowerPoint presentations and Excel spreadsheets

  • Excellent interpersonal and communication skills

  • Capable of performing bookkeeping in a simple accounting system

  • Excellent calendar management skills

  • Ability to work independently while interacting with and advising employees of all levels of the organization

  • Proofreading, attention to detail, and follow-through skills

  • Highly organized, flexible, and enjoys the administrative challenges of supporting a team of diverse people and programs
