Job Summary

Our RFP Proposal & Project Manager will lead our Proposals Team and will collaborate with many departments in the research, discovery, and review of RFPs for the Company.  This The ideal candidate for this role will have demonstrated project management experience and strong written and verbal communication skills.

Primary Responsibilities Related to Proposals:

  • Research, discover and review RFPs and other solicitations to determine if they should be distributed to members of ZOLL’s bid decision team for final determinations regarding whether ZOLL will submit responses, then schedule and lead meetings of the RFP team.

  • Prepare project plans for Proposals with actions, deadlines and responsibilities for each member of the Proposals Team; distribute plans to the Proposals Team; and monitor and manage actions, deadlines and responsibilities across multiple ZOLL Data departments.

  • Coordinate and submit questions of the Proposals Team regarding RFPs.  Track and distribute answers to those questions and other addenda to RFPs.

  • Draft shells for Proposals, draft key parts of Proposals (cover letters, company overviews and forms required by RFPs) and integrate sections drafted by all members of the Proposals Team in a professional manner.

  • Prepare response in a consistent and professional style; arrange for appropriate reviews.

  • Obtain signatures, print and compile and arrange for delivery of Proposals.

  • Store, maintain and analyze records relating to RFPs and Proposals.  Develop and maintain a library of content that can be utilized independently for future RFPs

Primary Responsibilities Related to Projects:

  • Work closely with key member of the Finance Department to plan and execute on a variety of Projects including, but not limited to, areas of legal, quality, accounting, contract administration and customers.

  • Prepare weekly Project Summaries for presentation to Manager overseeing each project, including status, accomplishments, resources required and other pertinent data.

Required Qualifications:

  • Bachelor’s degree in business, communications, or related field (year for year related work experience can be a substitution for the degree). 

  • 3+ years of professional experience related to proposal writing/RFP experience and/or project management.

  • Able to multi-task, have demonstrated organizational, detail orientation, prioritization skills and time management skills to ensure that work related activities are completed in an accurate and timely manner.

  • Ability to work effectively in a team oriented, high demand and fast paced environment.

  • Ability to maintain high level of confidentiality and work with highly sensitive data and information.

  • Excellent verbal and written communication skills to effectively deal with various levels of management, staff and/or outside contacts.

  • Ability to use existing and new technology for collaboration and communication across departments.

  • Effective listening skills to ensure understanding of instructions and directions and effectively communicate progress and problems to co-workers and management.

  • Demonstrated effective project management skills, with the ability to lead a team to a timely submission of proposal or project.

  • Ability to analyze RFPs, produce high level summary and provide a snapshot on the proposal requirements.

Preferred Qualifications:

  • EMS and Fire market experience a plus.

  • Technical writing experience

Salary for this position is $80,000-$110,000 annually. Final compensation will be determined by various factors such as a candidate’s relevant work experience, skills, certifications, and location.
