Job Summary:
Provides administrative support for senior leadership, management staff, and department. Works independently within guidelines established by Management Staff. Seeks supervision as needed.
Essential Functions:
- Collect, record, and track purchase requisition data for department.
- Track purchase orders and hours spent for contractors.
- Prepare expense reports and monthly spending reports as required.
- Correlate purchase requisitions, purchase orders and invoices to provide data for cash flow analysis.
- Maintain department office supplies inventory and general environment of the office.
- Coordinate travel arrangements as requested, anticipating upcoming needs
- Schedule meetings, conference rooms, and meals, as required
- Administrative duties such as filing, copying, answering/screening calls, mail distribution.
- Prepare correspondence to internal/external parties.
- Word processing, filing, simple outside correspondence and information retrieval for staff.
- Responsible for partial calendar management.
- Special projects as requested or sought for by administration and other departments as needed.
Skill Requirements:
- Strong knowledge of MS Office (i.e. Word, Excel, Outlook, PowerPoint.) Proficient in creating basic PowerPoint presentations and Excel spreadsheets
- Excellent interpersonal and communication skills
- Capable of performing book keeping in a simple accounting system
- Excellent calendar management skills
- Ability to work independently while interacting with and advising employees of all levels of the organization
- Proofreading, attention to detail, and follow-through skills
- Highly organized, flexible, and enjoys the administrative challenges of supporting a team of diverse people and programs
Required/ Preferred Education and Experience:
- High school diploma, Bachelor’s degree strongly preferred.
- 5+ years' experience as executive secretary, administrative assistant or equivalent
